Working with one of our top financial clients, this role calls for a Banking Administrative Assistant. This position is essential to maintaining seamless daily operations within the private wealth management team, offering exposure to the banking sector and opportunities to develop valuable administrative skills in a dynamic environment.

Pay rate range (CAD): $17.60/hr – $19.41/hr

Responsibilities

  • Manage and maintain calendars for multiple team members, resolving conflicts efficiently
  • Prepare and process paperwork, forms, and documentation for signature
  • Assist with onboarding and offboarding procedures for team members
  • Handle mailing, filing, and general administrative tasks with high attention to detail
  • Support day-to-day operational activities, including preparing reports, invoices, and communications
  • Coordinate meetings, participate in team touchpoints, and facilitate internal and external communications
  • Maintain confidentiality and exercise discretion when handling sensitive information
  • Support with travel arrangements and coordinate schedules amidst frequent changes
  • Provide coverage for colleagues, supporting project deadlines and team priorities
  • Assist in onboarding new team members and serve as a subject matter expert for common administrative tasks

Desired Skill-Set

  • Minimum of 1 year of administrative experience
  • Strong organizational and detail-oriented skills
  • Excellent communication skills, both written and verbal
  • Proven ability to adapt quickly and pivot in a fast-paced environment
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint) and internet applications
  • Ability to work independently and collaboratively across teams
  • Strong judgment and discretion when managing confidential information
  • Experience coordinating travel logistics and managing scheduling conflicts

Nice to Have

  • Previous banking or financial services experience
  • Experience supporting executive-level teams
  • Ability to manage multiple priorities under tight deadlines
  • Knowledge of banking policies and procedures
