Working with one of our top financial clients, this role calls for an HR Program Delivery Specialist/Event Management who will be responsible for supporting the logistics, communication, registration, and virtual event management of talent development programs. The candidate must be able to work in a fast-paced environment. The ideal candidate is detail-oriented, possesses excellent communication skills, can multitask, and can work independently and manage time with minimal direction.

Responsibilities:

  • Coordinate logistics, production schedules, run sheets, and show flows for virtual events
  • Recommend and configure virtual event management tools to meet the unique needs of our vendors and participants
  • Gather requirements, make recommendations, and coordinate contracts/BEOs/F&B and other venue agreements for onsite venues for events
  • Provide on-site support and troubleshooting for in-person and virtual events
  • Provide expertise in the area of event management industry best practices and emerging trends
  • Coordinate Senior Leader participants unique needs
  • Provide consultation for possible in-person events
  • Collaborate with event management partners and vendors to provide exceptional attendee experience for Top Talent Programs & SVP Development Programs
  • Setup and configure virtual training tools such as WebEx and possibly WebEx training and WebEx events
  • Setup WebEx functionality to meet training program needs
  • Organize and conduct dry-runs with vendors and partners presenting during training sessions
  • Liaise with partners and stakeholders in the resolution of program tasks and issues
  • Provide program-specific analysis and support for Talent Management, Colleague and Culture Programs
  • Establish best-in-class partnerships with vendors and determine guidelines and procedures to ensure program needs are consistently met to provide an exceptional participant experience
  • Prepare budget forecasts and manage some components of program budgets
  • Conduct internal and external research projects
  • Support the development and implementation procedures for Talent Management, Colleague and Culture programs
  • Use data to assess, draw conclusions and make recommendations for programs and procedures
  • Own relevant work packages through collaboration with multiple stakeholders to prepare for program implementation, managing deadlines, escalating issues to program owner, and adjusting to changing work priorities
  • Own and coordinate communication correspondence and invitations from Talent Management, Colleague and Culture secure email boxes
  • Develop and maintain documentation and communication materials
  • Coordinate translation of program-specific communication and presentations
  • Support the development and delivery of presentations and communications
  • Consistently exercise discretion in managing correspondence, information, and all matters of confidentiality
  • Liaison with special assistants and representatives from senior executive attendees' and guests' offices attending programs to ensure unique needs are met
  • Track confidential program data
  • Access program reporting and provide reporting recommendations
  • Create and manage unique registration experiences for Senior Leaders

Desired Skill Set:

  • Undergraduate Degree
  • 5 years of experience as an Administrative Coordinator
  • 7 years of experience supporting projects or acting in a coordinator role
  • Experience working with HR delivery programs
  • Experience facilitating team meetings and hosting virtual events
  • Experience working in Virtual Event Management/Coordination
  • Experience working with Training Programs
  • Experience working with MS Office and MS Excel
  • Experience working with video conferencing applications, WebEx Meetings, and WebEx Events

Nice To Have:

  • Experience hosting virtual training events in WebEx
  • Experience working with WebEx configuration and functionality
  • Experience supporting training program registration, tracking, and communication an asset
