Working with one of the top clients this role calls for a Legal Assistant/ Document Specialist – Commercial Litigation who will be responsible for providing best-in-class administrative support and acting as a document production specialist to the client’s team of Lawyers, Law Students and Law Clerks in collaboration with the Practice Assistants. The successful candidate must have advanced proficiency with the Microsoft 365 applications, strong technical and analytical document skills, attention to detail and the ability to handle multiple demands and work as part of a team. The ideal candidate will have a working knowledge of court procedures, requirements, and Rules of Civil Procedure and will display a growth mindset where they can adapt to new ways of working and learn new skills to expand their knowledge and use software and technology in day-to-day tasks. 

Responsibilities:

  • Document Production Dictation – transcribe and revise notes, memos, letters, and other correspondence/documents.
  • Create, revise and format all documentation to the highest quality with extreme attention to detail.
  • As part of a team, manage timeline expectations and collaborate and communicate effectively with team members.
  • Prepare, assemble, and draft various litigation documents, correspondence and briefs for court filings, distribution, service or other.
  • Preparing with little or no direction all legal documents according to general precedents or instructions. Formatting documents; working with styles, bookmarks, cross-referencing, tables, etc.
  • Producing, editing, or converting a variety of legal complex documents, spreadsheets, presentations, flow charts and PDF documents.
  • Correcting/formatting corrupted documents.
  • Performing document version comparisons and accurate revisions per professional’s mark-ups.
  • Act as a technical resource for document production and keep apprised of all changes/upgrades in technology.
  • Troubleshooting technical issues with documents and a willingness to mentor and train others when required.
  • Applying proofreading and editing skills to documents and correspondence.
  • Managing the intake of work, prioritizing and coordinating to meet deadlines.
  • Documenting, logging and tracking responses to requests for support.
  • From time to time, participating in pilot programs and software testing prior to launching firmwide.
  • Provide desk support from time to time or on an as-needed basis.
  • Understand and be able to use available legal software in everyday operations.

Desired Skill Set:

  • 3+ years of experience as a Litigation Legal Assistant, and/or legal support professional with a preference for Commercial Litigation
  • Post-secondary education in a Legal Assistant/Administration program, or equivalent.
  • Advanced technology skills and ability to quickly learn new software and applications.
  • Ability to work independently and collaboratively with excellent judgement to follow instructions and take initiative when appropriate, with a strong work ethic to do what it takes to get the job done.
  • Proactive, able to anticipate, problem solve and respond in a way that displays forward-thinking.
  • Accurate and proficient typing skills.
  • Excellent attention to detail with skills and ability to edit, catch errors and offer suggestions.
  • Exceptional written and verbal communication skills with strong knowledge of spelling, punctuation, sentence structure and grammar.
  • Advanced proficiency using the following programs and their features:
  • Microsoft Word (creating and modifying styles, formatting tables, mail merges, tracking changes)
  • Excel (creating and editing formulas, formatting worksheets, creating charts/graphs, and sorting)
  • PowerPoint (creating presentations, formatting, applying design and animation)
  • Adobe Acrobat (bookmarking, creating indices)
  • Document Management System (iManage / Worksite / Filesite)
  • Digital Dictation Software and
  • Automated Civil Litigation (ACL)
  • Ability to effectively use Accounting Software (3E), Docket Software (Carpe Diem) Electronic Court Filing applications (ONe-key and CaseLines) and Document Management Systems (iManage/DM).
