Working with one of our top financial clients, this role calls for a Workplace Services Coordinator – Hospitality & Facilities. This position is responsible for managing the daily operations of the office environment, ensuring a productive and welcoming experience for employees, visitors, and leadership. The role involves coordinating office services, facilities management, event support, vendor relations, and administrative tasks to sustain a high-functioning workplace.
Pay rate range (CAD): $17.60/hr – $34.78/hr
Responsibilities
- Maintain a clean, organized, and fully operational office environment.
- Manage supplies, kitchen inventory, refreshments, and shared resources.
- Collaborate with building management, facilities, technology, and workplace teams to address issues.
- Monitor office conditions and escalate maintenance or safety concerns.
- Support planning and execution of meetings, town halls, and employee events.
- Coordinate room bookings, catering, materials, and logistics for events.
- Assist internal communications, HR, and leadership with employee engagement initiatives.
- Serve as the main point of contact for workplace inquiries and requests.
- Welcome visitors, coordinate access, hospitality, and meeting arrangements.
- Support onboarding processes including access card management and new hire setup.
- Handle incoming mail, courier shipments, deliveries, and print requests.
- Maintain workplace management systems and communications.
- Contribute to special projects and other administrative duties as assigned.
- Coordinate vendors, suppliers, and service providers.
- Track and manage inventory levels and place orders as needed.
- Support health, safety, and emergency policies and procedures.
Desired Skill-Set
- 2-5 years of experience in workplace services, office administration, facilities, or hospitality.
- Strong organizational and time management skills.
- Excellent customer service and communication abilities.
- Capable of managing multiple priorities independently.
- Attention to detail and problem-solving aptitude.
- Proficiency with Microsoft Office applications.
- Experience coordinating events, meetings, or workplace operations is an asset.
Nice to Have
- Previous experience in a corporate or financial services environment.
- Knowledge of workplace safety protocols.
- Experience with office management software or tools.
- Background in vendor management or logistics coordination.
- Bilingual skills or additional languages.
