Working with one of our top financial clients, this role calls for a Administrative Assistant. This position offers a dynamic environment in wealth management support, providing valuable administrative assistance to a busy branch team, with opportunities for growth and development within the organization.
Pay rate range (CAD): $17.60/hr – $21.80/hr
Responsibilities
- Deliver high-quality, professional administrative support to the branch team and management
- Support daily operations, including coordination of equipment, system access, and IT support
- Manage communication of operational, regulatory, and compliance activities to ensure adherence
- Assist in maintaining and improving branch filing systems and documentation processes
- Handle office duties such as greeting clients, managing mail, courier services, and faxes
- Support business meetings by setting up venues, catering, and managing scheduling
- Respond promptly to client inquiries and visitor requests, demonstrating excellent customer service
- Coordinate premise and facility issues, including building maintenance and seasonal displays
- Support team initiatives aligned with the organization’s vision to deliver exceptional service
- Assist with business continuity planning and communicate updates to staff
- Provide support for client requests and other sundry duties as assigned
Additional Reception and Client Support Responsibilities
- Greet clients and visitors, responding efficiently and courteously
- Support incoming calls, direct inquiries, and assist with client requests
- Manage branch directories, outgoing/incoming mail, courier, and transit mail following internal protocols
- Contribute to the setup and logistics for meetings, including setup, catering, and room scheduling
Desired Skill-Set
- Post-secondary education (undergraduate degree or community college diploma in Business preferred)
- 1-2 years of administrative experience
- Strong proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook)
- Excellent communication and customer service skills
- Highly organized, detail-oriented, and able to prioritize multiple tasks
- Tech-savvy with a quick learning ability for new software and tools
- Ability to work independently and collaboratively in a fast-paced environment
- Resourceful problem solver with initiative and professionalism
Nice to Have
- Industry-related courses or certifications in progress or completed
- Previous experience supporting high-net-worth clients (an asset)
- Banking or financial services experience (not required)
