This is an exciting opportunity to join a leading financial institution as an Administrative Support Associate, supporting the Investment Support Group Team within Investment Services.

Working with one of our top financial clients, this role calls for an Administrative Support Associate who will oversee administrative duties related to the management and record keeping of client communications. The successful candidate will play a key role in ensuring accuracy, compliance, and timely execution of administrative processes within a collaborative and fast-paced environment.


Responsibilities:

  • Oversee administrative and record-keeping duties related to client communications.

  • Focus on the mailing aspect of record keeping and administration, ensuring timely and accurate processing.

  • Receive client transfers and mail them appropriately according to established procedures.

  • Manage return mail volumes, including invalidating addresses in the system and storing processed items for record keeping.

  • Perform check processing by reconciling values in the system and sending them out for completion.

  • Verify that correct documentation is completed for each task and ensure compliance with internal standards.

  • Conduct data verification in reports versus source systems to ensure quality and accuracy.

  • Collaborate with team members and internal departments to ensure smooth operations and timely completion of administrative tasks.


Desired Skill Set:

  • Proficiency with Microsoft Suite (Office, Teams, Excel).

  • Exceptional attention to detail and accuracy in documentation.

  • Strong organizational and communication skills.

  • Positive attitude with a team-oriented approach.

  • Ability to manage multiple priorities in a fast-paced environment.


Nice-to-Have Skills:

  • Previous Desk Clerk or administrative experience in a financial services setting.

  • Conversational French proficiency.
