Working with one of our top financial clients, this role calls for a Project Coordinator – Junior. The position involves providing essential operational and administrative support to senior leadership and sales teams, ensuring smooth execution of daily activities and supporting sales enablement initiatives.
Pay rate range (CAD): $30.43/hr – $36.52/hr
Responsibilities
- Offer comprehensive sales coordination and administrative support to Relationship Managers and Consultant teams, acting as the primary point of contact for daily operations and urgent requests.
- Collect, track, and maintain records of collaborative activities across sales teams to enable accurate reporting on coverage, coordination, and effectiveness.
- Support onsite sales team needs, including preparing meeting rooms, printing, shipping materials, and managing physical collateral to ensure readiness for meetings and client engagements.
- Coordinate logistics for sales materials, promotional items, and internal events for small meetings and advisor-facing initiatives.
- Provide light office and meeting support for internal senior leadership and sales meetings, including basic catering setup such as water and coffee.
- Manage expense reports, sponsorships, and administrative requests with attention to detail, accuracy, and adherence to policies.
- Collaborate with sales, marketing, events, and operations teams to facilitate seamless execution of initiatives and improve sales support processes.
- Lead and coordinate small sales events of up to approximately 20 participants.
- Oversee expense reporting for consultant teams, ensuring timely and accurate submission.
Desired Skill-Set
- 3+ years of experience in financial services or asset management.
- 5+ years of experience in event management, sales support, administrative support, or client service.
- Proven experience supporting sales or distribution teams.
- Skilled in communicating with senior-level leaders.
- Strong proficiency with Microsoft Office tools, including Outlook, Teams, Word, Excel, PowerPoint, and CoPilot.
- Fundamental understanding of investments and how sales-driven firms operate.
- Excellent organizational skills, attention to detail, and ability to prioritize tasks effectively.
- Strong written and verbal communication abilities.
- Results-oriented with a proactive and collaborative mindset.
- Ability to operate comfortably in a fast-paced sales environment and adapt to changing priorities.
Nice to Have
- Experience planning and executing corporate events.
- Knowledge of internal CRM or project management tools.
- Previous experience working in a high-volume office setting.
- Familiarity with internal policies related to expense and administrative processes.
